You just signed up for Stockpile Reports®. You log in, and the account is empty. No sites, no materials, no piles. Before your crew can measure anything, somebody has to tell the system what is out in the yard.
That used to mean an afternoon of forms. Now it can be a conversation. Connect Stockpile Reports to your AI assistant, describe your operation the way you would to a new hire, and the assistant builds the account for you. Already have it on paper? Take a picture.
James Lobbett and I recorded a one-minute walkthrough of exactly that, using Claude. Watch it, then read on for the steps and the details worth knowing.
Step 1: Connect Stockpile Reports to your AI assistant
Add Stockpile Reports as a connector in your AI assistant and sign in with your normal Stockpile Reports email and password. The connection is available to every group account with a Business subscription, and a Business trial includes it. There is nothing extra to buy and no access request to file. On a Professional trial? Business is the plan with the AI assistant connection.
The assistant works with the same permissions as your login, no more. If your login cannot do something in the Stockpile Reports Web Application, the assistant cannot do it either.
The step-by-step guide for Claude, ChatGPT, Gemini, and Microsoft Copilot is at stockpilereports.ai/connect.html. It takes a few minutes.
Step 2: Tell it about your operation
Talk to it like you would talk to someone on their first day. Name the site. List the materials you stock and the conversion factors you use to get from volume to tons. Say where the piles sit and which ones live in bunkers.
For example: "Bunker one is half inch crush. Bunker two is three-quarter. Bunker five is millings. The asphalt goes in the shed."
You do not need to type it neatly or in any particular order. Say it, type it, or mix the two.
Step 3: Or just take a picture
Most yards already have the layout written down somewhere: a clipboard in the scale house, a whiteboard, a sketch on graph paper. In the video, the yard is a hand-drawn row of numbered bunkers with the wall lengths written in.
Snap a photo and share it with the assistant. It reads the piles, the materials, and the bunker dimensions straight off the page.
Step 4: Answer its questions, then confirm
Before it creates anything, the assistant reads back what it understood and asks about anything unclear. In our walkthrough it asked:
- How each conversion factor was determined, because Stockpile Reports keeps a note with every factor.
- Whether to reuse products already in the account or create new ones for this site.
- Whether it was fine to place every bunker at the site's map pin for now and adjust the locations later.
- What one handwritten number really was, because a digit had been written over another.
You answer, it shows you the final list of products, bunkers, and piles, and in our walkthrough it created nothing until we approved. When it is done, open the Stockpile Reports Web Application and the site is there, every pile named and assigned its material.
Step 5: Invite your team
Ask the assistant to invite your team. Give it their email addresses, and it sends the invitations. Once they accept, they can sign in to SR Measure® and start measuring.
A few things worth knowing
Have your conversion factors handy. Tons only exist where a conversion factor is set. If you know where each factor came from, whether a supplier sheet, your own test, or a standard figure, say so. The assistant will record it.
Pile locations can be rough at first. If you do not have coordinates for each pile, the assistant can start them at the site's location, and you can refine them later.
It sets up the account. Your team still measures. The assistant creates the structure your measurements hang on. The volumes and tonnages come from your crew measuring with SR Measure.
It keeps working after setup. Once your piles are being measured, you can ask the same assistant about them. Month-End Stockpile Inventory: What to Ask Your AI Assistant covers the questions worth asking before the books close. New to the idea? Physical AI 101 explains how the connection works.
The short version
Aggregates producers, ready-mix and asphalt plants, DOT maintenance yards, landscape suppliers, and recyclers all start the same way: someone has to tell the system what is in the yard. With Stockpile Reports in your AI assistant, that takes minutes. If you can describe it, you can set it up.
